Society Secretary Guide

Complete tutorial for housing society secretaries and admins. Learn maintenance billing, online payment collection, expense tracking, and resident management.

Step 1

Register Your Society

Create your society account in under 2 minutes. Your society code and password are auto-generated and shown after registration.

  1. 1.Go to myapartmentapp.in and click "Register Society"
  2. 2.Enter your society name, state, city, and pincode
  3. 3.Provide your name, mobile number, and email address
  4. 4.Verify your email with the 6-digit OTP sent to you
  5. 5.Your society code is auto-generated (e.g., SUNRI042) and shown on screen
  6. 6.Your admin password is also displayed — save it securely

💡 Tip: Your society code is generated from your society name + a number. Share it with residents so they can join.

Step 2

Add Your First Resident

Add residents (flat owners or tenants) so they can receive bills and make payments. You can add them one by one from the Residents page.

  1. 1.Go to Residents → Add Resident
  2. 2.Enter the resident's name and phone number
  3. 3.Assign their flat number and flat area (sq. ft.)
  4. 4.Choose their role: Resident or Committee Member
  5. 5.Set a password (default: Welcome@123)
  6. 6.Click Save — the resident can now log in and pay bills

💡 Tip: Add at least 5 residents before generating your first bill. The system creates one bill per flat.

Step 3

Configure Maintenance Billing

Set up how much each flat pays monthly. Choose between a fixed amount or per-square-foot billing.

  1. 1.Go to Settings → Maintenance
  2. 2.Choose billing type: Fixed Amount or Per Square Foot
  3. 3.Enter the amount (e.g., ₹500 flat or ₹8 per sq. ft.)
  4. 4.Set the due day (1–28 of each month)
  5. 5.Optionally enable late fees for delayed payments

💡 Tip: Most societies use fixed amounts for simplicity. Per-square-foot billing is fairer for societies with varying flat sizes.

Step 4

Set Up UPI for Online Payments

Configure your society's UPI ID and upload your QR code so residents can pay maintenance bills directly from their phones.

  1. 1.Go to Settings → Payment Modes
  2. 2.Toggle UPI to enable it
  3. 3.Enter your society's UPI ID (e.g., yoursociety@upi)
  4. 4.Upload your UPI QR code image (JPG or PNG)
  5. 5.Toggle Cash to enable cash payments too
  6. 6.Click Save Settings

💡 Tip: Upload the QR code from your UPI app (Google Pay, PhonePe, etc.). Residents will scan this to pay.

Step 5

Generate Monthly Bills

Create maintenance bills for all residents in one click. The system auto-generates bills for the current month.

  1. 1.Go to Billing → Generate Bills
  2. 2.Click "Generate Bills" — bills are created for all active residents
  3. 3.The system creates one bill per flat based on your maintenance config
  4. 4.If bills already exist for this month, they are skipped (no duplicates)
  5. 5.Residents receive notifications about their new bills

💡 Tip: Generate bills on the 1st of every month. The system also has an auto-generation cron job.

Step 6

Track Payments & Collections

Monitor who has paid and who hasn't. The dashboard shows real-time collection status, pending amounts, and overdue accounts.

  1. 1.Go to Billing → Outstanding Bills to see pending payments
  2. 2.View total collected, pending, and overdue amounts
  3. 3.Use "Mark Paid" for cash payments received
  4. 4.Use "Mark Overdue" for bills past the due date
  5. 5.Go to Billing → Verify Payments to approve UPI screenshot submissions

💡 Tip: Check Outstanding Bills daily during the first week of the month when most payments come in.

Step 7

Record Society Expenses

Track all society expenses — security, electricity, repairs, vendor payments. Maintain complete financial transparency.

  1. 1.Go to Expenses → Add Expense
  2. 2.Enter expense title, amount, and date
  3. 3.Select a category: Maintenance, Utilities, Security, Cleaning, Repairs, Events, Other
  4. 4.Optionally add an attachment URL for receipts
  5. 5.View monthly and yearly expense reports with category breakdown

💡 Tip: Record expenses immediately. The Expense Dashboard shows category-wise breakdown and monthly trends.

Step 8

Enable Marketplace (Optional)

Let local service providers — electricians, plumbers, cleaners — reach your residents. Zero setup cost for your society.

  1. 1.Go to Settings → Features → Toggle Marketplace on
  2. 2.Local service providers become visible to your residents
  3. 3.Residents can browse categories, read reviews, and contact providers
  4. 4.Providers can register themselves on your marketplace
  5. 5.Residents can call or WhatsApp providers directly

💡 Tip: The marketplace is optional but adds value for residents and connects them with trusted local services.
